Entering Basic Data

This section explain how to enter data using a database as well as entering data manually. DataMatch is very flexible in handling your various workflows for entering Underclass, Events and Sports information. It is impossible to cover all of them in the User’s Manual, however our tech support staff can provide you with more information. There is a written description of each of the data entry buttons to help you get a better understanding of how to enter information.

Enter Data Using a Database:
When you import a database, DataMatch assigns each student a unique record number. This record number accesses the student’s information. If you imported digital camera files into DataMatch, the thumbnails will be displayed along the bottom of the screen.  A red box will outline the image you are entering data for.  The top of the screen will show how many images were imported. If you are shooting film, the roll number and frame number will appear at the top of the screen. As you enter data, the frame numbers will sequence up. NOTE: If you shot more than one roll of film, be sure to change the roll number and reset the frame number back to 1.

 
  1. Type in the DataMatch ID # of the first student photographed.  Hit 'Tab' on your keyboard.    This will display all of the student’s data. NOTE: If a student or teacher is not in the database type the word 'New' in the Datamatch ID field and hit Tab. This will issue the next available ID # in the database.
  2. Your cursor will automatically go to the package field.  Enter the letter or the number of the package ordered.  The quantity will default to 1.  If more than one is ordered, enter that amount manually.  If more than one type of package is ordered, tab over to the second package field and fill in the necessary information. 
  3. If a student is ordering Retouching, Personalized Wallets or Spray, check the corresponding box.  If ordering Personalized Wallets, the students name will appear in the box labeled ‘Name on Wallet’.  You can change the name if requested, i.e Christopher may want Chris on his wallets.  The name Christopher will not be changed in the database or on any ID cards, yearbook or administrative CD’s.
  4. Hit 'Enter' on your keyboard to advance to the next student.
  5. DO NOT hit enter after you enter the package information for the LAST image,
    instead go to ‘File’, ‘Send Job’.

Manually Entering Data:
Manually entering data means that you do not have a database to import directly into DataMatch.  If this is the case, you will manually enter the information for each student. The data entry screen will look the same as if you were entering data with a database, all of the above work buttons apply

17Vital Tip: If you are shooting film, send it to Century Color for processing as soon as possible.  Don’t hold your film while you are entering data.  By sending it immediately, we are able to process, edit and scan your film. By the time you send your data we already have a good head start on your job and your delivery time will be faster. If you are having camera problems we can make you aware of it immediately (hopefully before your next shoot).

 

Work Buttons

  • The ‘Slate’ button is used for images you do not want printed (blinks).
  • The ‘Insert Info’ button will allow you to change the information used for a particular sequence, and shift the information for the sequences following.
  • The ‘Delete Info’ button is to delete the information that is incorrect.  Go to the sequence number you want to remove, click, ‘Delete Info’.  It will ask you if you are sure you want to delete, click ‘OK’.  The system will then shift all the information you have entered.  NOTE:  This DOES NOT delete an image that you have imported into DataMatch, only the information.
  • If you have multiple frames of the same student, you can use the Copy Last ID #’ button to duplicate the student’s information.  NOTE: you must submit a record for every image or frame that was taken, including the slates.  Be sure to hit ‘Enter’ to advance to the next student.
  • The ‘Compare’ button will enlarge up to four images for you to compare.
  • The ‘Find Student Already Entered’ feature is used to find a record that has already been entered into DataMatch.  Type in the first few letters of the student’s last name or first name and click ‘Find’.  Locate the student’s name on the list, highlight it and click ‘Go to Record’DataMatch will then bring you to that record.
